Challenge
Reliance Worldwide Corporation (UK) Ltd required a solution that would improve the logging of private and business mileage, making it a more efficient and pain free process. For many drivers, handling tax and expense claims can be a complex and time-consuming task, providing a real challenge to get everything right.
Reliance Worldwide needed technology that ensured drivers no longer needed to go through the rigmarole of logging expense claims manually.
Car fleet drivers are more likely to use their vehicles for work and personal use, not something typically seen with vans or LCVs. Having transparency on the actual mileage drivers have done would allow car fleets to give a far more accurate picture of business mileage.
Solution
Reliance Worldwide implemented a telematics solution from Masternaut across its fleet of 26 cars, with the sales team using the system to accurately log all private and business mileage effortlessly.
When a journey is made, drivers can log it as either being private or business mileage, giving them greater accuracy on journeys made for work purposes or personal travel. The logging and submitting of mileage data and expenses will save drivers the time and effort of having to log it all manually.
The system benefits the whole business from the finance department to individual drivers, enabling driver authentication of business and private mileage, while storing data for regulatory compliance.
This provides absolute transparency and the tool-kit to professionally address any over-claim issues.
Outcome
Since installation, Reliance Worldwide employees have been using the system to accurately and effortlessly record all of their private and business mileage.
Masternaut’s reporting delivers detailed private and business mileage, helping employees to log accurate expense claims, saving them from hours of admin pain. This in turn has also helped Reliance Worldwide accurately deduct private mileage from fuelcard payments. Overall there has been an 80% drop in process and admin time.
The information provided by the reports is also HMRC compliant, providing Reliance Worldwide with the necessary data for regulatory compliance.
In addition, Reliance Worldwide has managed to reduce insurance premiums across the fleet, as a result of having the technology installed in all 26 vehicles.
